A corporate event is how organizations present their best ideas, products, services or any other celebratory news to management, stakeholders, media outlets and clients to strengthen their ties and relationships between one and another. So essentially, a poorly planned corporate event will reflect pretty badly on you and your organization. Here are some tips that will help you plan that corporate event successfully.

Sort Out Your Event Goals

Of course, you’re going to have a good idea of your reasons behind holding this event but that’s simply not enough. Ask stakeholders what they’ll be expecting so you can adjust according to their views. This will also help you decide on a venue and who you should be inviting. Some common things you’ll want to prepare for at almost any corporate event is to draft some ideas that will spark innovation, prepare an analysis of the company’s performance and also outline your future goals.

Define Your Target Audience

There are many things for you to think of here. Is it an event for the whole company or just a couple of departments? Will your top clients and the press be involved or is it only an employee matter? Sorting out who exactly you’ll need at your event will decide the format and tone of your event. Then you can get started on a proper guest list.

Scheduling

Don’t underestimate the importance of fixing the right date. It’s best that you pick a date that’s not so close to vacations or public holidays but also one that doesn’t coincide with any other large events happening in the area that your target audience will probably be attending. Save them the trouble of choosing and never assume that they will definitely pick you over another event- pick a seemingly free date. After that there are several things for you to do, beginning with selecting a venue, caterers, marketing your event etc.

Venue

Choosing a venue usually comes in two options- one, where you have to hire the caterers, decorators and so on separately or two, where you’re offered a package deal. You’ll want to choose a venue complete with a formal Yarra valley lunch that reflects well on your company. So it’s best that you make your choice quickly and book the location as soon as possible.

Invite Your Guests In Advance

Issue your invites at least 3 weeks in advance and be prepared to have someone ready to follow up if your guests don’t respond in two to three days.

Market Your Event

Market your event positively through a social media strategy and use of a few e-mails so guests will eagerly save the date. Make sure your marketing doesn’t stop on the day of the event either. Branding plays a very important role so you can print out an event program, the company logo on various items your guests can take home and display the logo on boards as well.

This is how you organize a successful corporate event. Create the plan in your head down to the minute details and execute it methodically so that on the day of the event, your goals will be fulfilled and your guests will be satisfied.
